1. Who we are
Dhinbhar One is a field-force attendance and location-tracking service provided by Dinbhar One (“we”) to organisations (“your employer”) for their employees. Your employer decides who uses Dhinbhar One and why, and administers the accounts; we operate the service on your employer's behalf. This policy explains what personal data Dhinbhar One processes, in line with India's Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.
2. What we collect
| Data | Details | Source |
|---|---|---|
| Account and employee profile | Name, employee number, e-mail / login ID, mobile and alternate number, designation, department, date of joining, reporting manager, assigned city, address and emergency contact (if your employer enters them), profile photo (if uploaded). | Your employer |
| Location | GPS position, accuracy, speed and time, recorded while you are on duty (see section 3); derived routes, distance, stops and gaps; the city boundary check (inside / outside your assigned city). | The Dhinbhar One app on your phone |
| Attendance | Sign-in and sign-out times (app and portal), personal breaks with an optional note, attendance corrections you request and their approval, IP address and browser / app version of each sign-in. | You, the app and portal |
| Daily work | Activities you report each day with status and remarks, and your plan for the next working day. | You |
| Phone (device) details | Phone make, model, operating system and app version; a device identifier provided by the operating system (stored only as a one-way hash); on Android the SIM mobile number(s) reported by the phone to check that the registered number matches, and the IMEI only on older Android phones that allow it (stored encrypted). iPhones do not share SIM numbers or IMEI. | The app, at sign-in |
| Consent and security records | When you gave or withdrew GPS consent, blocked sign-in attempts, and an audit log of administrative actions and of who viewed location history. | The system |
| Battery and GPS status | Battery level and whether location permission or location services are on, to explain gaps in tracking. | The app |
3. How location tracking works
- Tracking starts only after you sign in to the app and give GPS consent, and only within working hours (10:00–18:00 IST, unless your employer has set other hours).
- While you are on duty the app records your position about every 15 seconds when you move, including when the app is in the background. Android shows a notification and the iPhone shows the blue location indicator while tracking is on.
- Tracking stops when you sign out, start a personal break, withdraw consent, or at the automatic sign-out at the end of the day (23:58 IST).
- Location is never recorded during a personal break, after sign-out or on days you do not sign in.
- GPS location on its own never marks you present or absent; attendance comes from your sign-in and sign-out.
4. What we do not collect
- No contacts, call logs, SMS, e-mails, photos or files from your phone (a profile photo is only added when an administrator chooses one).
- No location outside duty, no microphone or camera recording, no browsing history.
- No advertising identifiers; no advertising, profiling for marketing or sale of data.
5. How the data is used
- Recording attendance, working hours, late arrivals, early departures and personal breaks.
- Showing your live location (with its age) and routes, distance and stops to authorised people at your employer, and producing attendance, movement and daily work reports.
- Managing city assignments and transfers.
- Security: approving the phone used for the account, preventing account sharing and fake locations, and keeping an audit trail.
- Operating, supporting and improving the service, and meeting legal obligations.
The legal basis is your consent for location tracking, which you can withdraw at any time, and your employer's legitimate purposes of employment for the other data, as permitted by law.
6. Who can see it
- You see your own profile, attendance, movement, routes and daily work in the app and portal.
- Your employer's administrators see employees of the organisation; city administrators only employees of their cities; managers only their own team.
- Dinbhar One staff access data only to operate, secure and support the service.
- Data of one organisation is never shown to another organisation.
- We do not sell or rent personal data. We disclose it only if required by law, a court or a government authority.
- Map tiles are loaded from OpenStreetMap (or Google Maps if your employer enables it); only the map area being viewed is requested, not your personal data.
7. How long it is kept
| Data | Kept for |
|---|---|
| Detailed GPS points and route replay | 3 months, then deleted automatically (a daily summary without coordinates — distance, times, counts — is kept) |
| Tracking diagnostics that may contain coordinates | 3 months |
| Attendance, personal breaks, corrections and daily work reports | As long as your employer needs them for employment records |
| Consent history and security audit records | Kept as evidence of consent and access |
| Profile and account | While you are employed; after you leave, the account is disabled and the history kept for your employer's records |
| Backups | 14 days |
8. Security
- All connections use encryption (HTTPS); passwords are stored hashed.
- The app works only on a phone approved by your administrator; the device identifier is stored hashed and the IMEI encrypted.
- Access is limited by role and city; viewing anyone's location history is logged.
- Data is backed up daily; old location data is removed automatically.
9. Your rights and choices
- Access: see your data in My Profile, My Attendance, My Movement and Daily Work.
- Correction: ask your administrator to correct profile details; request an attendance correction in the app or portal.
- Withdraw consent: in the app menu (“Withdraw GPS consent”) — tracking stops immediately; attendance sign-in and sign-out are still recorded.
- Personal break: go off duty for private work at any time; nothing is tracked during the break.
- Erasure and grievances: ask your employer or contact us (section 12). Some records may have to be kept for legal or employment reasons.
- You may also nominate a person to exercise your rights and complain to the Data Protection Board of India.
10. Children
Dhinbhar One is meant for employees and is not intended for anyone under 18.
11. Changes to this policy
We may update this policy. The effective date at the top shows the current version. If a change affects location tracking, the app asks for your consent again.
12. Contact and grievances
For questions about your data, first contact your employer's Dhinbhar One administrator. You can also contact Dinbhar One:
- Through your employer's Dhinbhar One administrator.
We respond to grievances within 30 days.
